RULES AND REGULATIONS GOVERNING THE GUEST HOUSE

 

 

Explanation :

Caretaker/Supervisor means the Caretaker/Supervisor of the Guest House of Tezpur University.

Caterer means the Caterer of the Guest House of Tezpur University.

Incharge means the Officer Incharge of the Guest House of Tezpur University.

Registrar means the Registrar of Tezpur University.

Vice-Chancellor means the Vice-Chancellor of Tezpur University.

 

 

A : TO BE NOTIFIED TO GUESTS   

 

1. Entitlement

The Guest House accommodation shall be available under the following categories :

 

  1. University guests;

  2. Special invitees for specific University events;

  3. Newly appointed faculty members (for a limited period);

  4. Parents/guardians of students and relatives of employees (conditions apply);

  5. Any other guests as approved by the Competent Authority.

 

2. General Rules       

  1. Booking of room(s) can be made by filling the prescribed form and submitting it to the Incharge or the Caretaker in advance (preferably 3 days). The allotment of rooms shall be generally done on the "first come, first served" basis.

  2. Accommodation in the Guest House may be made up to a maximum of seven days. When accommodation is required for more than seven days, special permission of the Vice-Chancellor shall be required.

  3. Newly appointed staff/faculty members may be provided accommodation for a maximum period of one month. If any staff/faculty member(s) has to stay in the Guest House beyond one month, permission of the Vice-Chancellor shall be required.

  4. Any employee(s) of the University staying in the Guest House beyond the admissible period without prior permission shall be liable to disciplinary action as per rules.

  5. The Guest(s) shall not accommodate any additional member(s) in the room without permission of the competent authority.

  6. Guests leaving rooms shall leave the room key with the front office for cleaning and other maintenance works. However, the university shall not be responsible for any loss or damage of the belongings of the occupant during his/her stay in the Guest House.

  7. Any cancellation of reservation shall have to be informed to the Incharge or Caretaker/Supervisor in writing or over phone at least 24 hours before the otherwise scheduled time of occupation, failing which room rent shall be levied.

  8. The occupants shall place order for breakfast/lunch/dinner to the Caterer well in advance. In case of cancellation of order, the Caterer has to be intimated before three hours of the serving time. Otherwise, payment has to be made for the ordered items.

  9. The Guest House management reserves the right to cancel a booking, refuse accommodation or change the room(s) allotted to a person or persons without assigning any reason(s) thereof.

  10. Service Schedule :

    a) Bed tea                    6.00 am to 6.30 am

    b) Breakfast                 8.00 am to 9.00 am

    c) Lunch                       1.00 pm to 2.00 pm

    c) Evening tea               5.00 pm to 6.00 pm

    d) Dinner                      8.00 pm to 9.30 pm

  11. The kitchen of the Guest House will be closed at 10.00 pm.

  12. The use of alcoholic beverages in the Guest House premises is strictly prohibited.

  13. The occupants shall have to maintain peace and tranquility in the Guest House complex.

  14. Drying of clothes on the verandah or balcony or any areas other than those specified for the purpose, shall not be allowed.

  15. Cleanliness has to be maintained in and around the Guest House. Dust bins are placed in appropriate places for disposal of refuses.

  16. Official/private events may be held in the Guest House with permission of the competent authority at the payment of the prescribed fee.    

  17. The occupants shall make actual payment for the STD/ISD calls, if made.

  18. Check-out time shall be 12 Noon.

 

B : INTERNAL : TO BE NOTIFIED TO GUEST HOUSE STAFF

  1. The Caretaker or Supervisor shall maintain an account of the receipt and expenditure related to the Guest House. He shall receive the payment of room rent and deposit the amount along with other income, to the Bank Account of the Guest House (operated jointly by the Guest House Incharge and Chairman, Guest House Management Committee) every Saturday. He shall also maintain cash book, ledger book, stock book, etc. up-to-date. The ledger will be produced to the auditor(s) for auditing as and when required.
  2. Generally, the bills shall be submitted to the indentor or otherwise specifically mentioned in the booking form.
  3. The attendant(s)/cook(s) of the Guest house shall be entitled to "off days" as other employees on essential duties.  
  4. Catering services shall be outsourced. The agency shall work under the guidance and supervision of the Incharge and Supervisor.
  5. The kitchen staff posted at the Guest House shall prepare meals as per order placed by the occupant and the requisite payment shall be made by the occupant after the bill/account of the expenditure actually incurred is rendered to the guest.
  6. An Occupancy Register shall be maintained in the Guest House in the prescribed format and the same shall be produced to the guest on entry. The guest shall also sign the Register on the appropriate column at the time of departure. A Visitor's Book shall be kept at the Reception Counter for recording the suggestions or complaints of the guests, if any.
  7. Each Room shall be provided with Telephone, call numbers for essential services like front office, kitchen, medical help, security help, wake up call, etc.
  8. The Vice-Chancellor may relax any rule in full or part in such cases as may be deemed fit and necessary by him.
  9. Necessary amendment to any of the aforementioned rules may be recommended, if deemed required, by the Guest House Management Committee for approval of the Vice-Chancellor. Such recommendation(s) shall become rule on notification by the Registrar.

Pursuant to the recommendation of the Review Committee for the Rent Structure of the Tezpur University Guest House, the Room Tariff of the Guest House, Tezpur University, is revised as under w.e.f. 01.07.2013
